Vibe65 is a UK-based third-party logistics (3PL) provider. We handle Amazon FBA prep, DTC pick & pack for Shopify/eBay/TikTok Shop and other channels, B2B and pallet fulfilment, storage, kitting, and returns processing from our facility in Chorley, Lancashire.

Where is Vibe65 based?+

Our warehouse and operations are based at Unit 5, Yarrow Business Centre, Yarrow Road, Chorley, Lancashire, PR6 0LP. We're a UK company (Modern Matrix Ltd, trading as Vibe65) and are FHDDS registered with HMRC.

What areas do you ship to?+

We dispatch UK-wide via domestic couriers (including Royal Mail, DPD and Evri), and prepare and ship inventory directly into Amazon's UK and EU fulfilment network for FBA sellers. B2B and pallet shipments are arranged via domestic pallet couriers.

Do you work with sellers based outside the UK?+

Yes. We work with overseas-based sellers provided you hold a valid UK VAT registration and GB EORI number. Because FHDDS due diligence requirements are stricter for overseas entities, onboarding can take a little longer while we verify your paperwork.

How quickly can I get set up with Vibe65?+

Most new clients are onboarded within 5–7 working days of signing up, covering WMS setup, channel integration, and initial training. Timelines can extend slightly for overseas sellers due to additional FHDDS due diligence checks.

What's the minimum order volume to work with Vibe65?+

We work best with sellers shipping at meaningful volume — typically 100+ orders or units a month, or a recent launch with a credible path to that within 90 days. If you're below that, we're happy to have a conversation about timing rather than turning you away outright.

Do you offer a free trial?+

Can I see my inventory in real time?+

Yes. Every account gets live access to our Mintsoft warehouse management system (WMS), so you can check stock levels, order status, and movements in real time rather than waiting on a report.

What warehouse management system do you use?+

We run on Mintsoft, a UK-built WMS designed for multichannel sellers. It connects to 100+ sales channels, couriers and accounting platforms and gives you live visibility of your stock.

Can I switch to Vibe65 from my current 3PL?+

Yes, this is one of the most common reasons clients come to us — usually because of poor communication, inventory discrepancies, or compliance issues with their existing provider. We'll talk you through transferring stock and switching channel integrations as part of onboarding.

What is Amazon FBA prep?+

FBA prep is the process of getting your inventory ready to meet Amazon's requirements before it's sent into their fulfilment network — labelling, polybagging, bundling, and packaging items so Amazon will accept the shipment without rejecting it.

How much does FBA prep cost?+

Our FBA prep service starts from £0.75 per unit, which includes receiving and inspection, FNSKU and transparency labelling, bundles up to 5 units, 30 days of free storage, and 48-hour turnaround. Use our pricing calculator for an estimate based on your actual volumes.

What's included in your FBA prep service?+

How fast is your FBA prep turnaround?+

Our standard target is 48 hours from receipt to shipment for FBA prep. This is a target rather than a guaranteed delivery time, but it's backed by our guarantee — see the next question.

What happens if you miss the 48-hour turnaround?+

If we miss our 48-hour FBA prep target, you get 10% off that shipment for every day we're late. We publish this as part of our guarantee because we want to be accountable for our own targets, not just set them.

Do you apply FNSKU labels?+

Yes, FNSKU label application is a core part of our FBA prep service and is included in our standard per-unit rate.

Can you remove existing barcodes/labels?+

Yes, we can cover or remove existing SKU barcodes before applying your FNSKU label, which is often needed for retail-sourced or previously-listed stock.

Do you poly bag and bubble wrap items?+

Yes. Poly bagging (including the required suffocation warning) and bubble wrapping for fragile items are both standard parts of our FBA prep process.

Can you create bundles/multipacks for Amazon?+

Yes, bundle and multipack assembly is included in our FBA prep service, with bundles up to 5 units included as standard. Larger or more complex bundle/set requirements can be quoted separately.

Do you handle Amazon Transparency labelling?+

Yes, Transparency labelling is included alongside FNSKU labelling as part of our standard FBA prep service.

Will my shipments get rejected by Amazon?+

Do you manage the FBA shipment plan / send to Amazon?+

What is DTC fulfilment?+

DTC (direct-to-consumer) fulfilment is picking, packing and dispatching orders that go straight to your end customer, rather than into Amazon's FBA network or to a retailer. We handle this for Shopify, Amazon FBM, eBay, TikTok Shop and other channels.

Which sales channels do you support?+

We support 100+ platforms via our Mintsoft WMS integration, including Amazon (FBA and FBM), Shopify, WooCommerce, eBay, TikTok Shop, and more.

How much does DTC pick & pack cost?+

Do you offer same-day dispatch?+

Yes, same-day dispatch is included as standard on DTC orders placed before our cut-off time.

What's your order cut-off time for same-day dispatch?+

Orders need to be placed before our daily cut-off (currently 14:00) to qualify for same-day dispatch. Speak to your account contact to confirm the current cut-off for your account.

What happens if you miss same-day dispatch?+

If we miss our same-day dispatch commitment on a qualifying order, the pick fee for that order is waived. This is part of our published guarantee.

Do you charge extra for packaging materials?+

Standard mailer bag cost is included in our DTC pick & pack rate. If you supply your own branded packaging, there's no additional packaging charge from us.

Can you use my own branded packaging?+

Yes, if you supply branded or custom packaging we'll use it at no extra packaging charge — we just pick and pack into what you send us.

Do you support TikTok Shop fulfilment?+

Yes, TikTok Shop is one of our supported sales channels via our Mintsoft integration.

Can you fulfil orders across multiple channels at once?+

Yes — that's one of the core reasons sellers come to us. Mintsoft pulls orders from all your connected channels into one system, so Amazon, Shopify, eBay and others are all fulfilled from the same stock pool without you juggling separate systems.

What couriers do you use?+

We work with major UK couriers including Royal Mail, DPD and Evri for DTC and B2B dispatch, arranged on your behalf under our standard courier terms.

Do you offer next-day delivery to customers?+

Courier service levels (including next-day options) depend on which courier and service your customer selects at checkout — speak to your account contact about the specific delivery options available on your account.

B2B and pallet fulfilment

Do you handle B2B / wholesale fulfilment?+

Yes, we offer a dedicated B2B and pallet fulfilment service for retailer and wholesale shipments, separate from our Amazon FBA and DTC services.

Can you ship full pallets to retailers?+

Yes, full pallet builds and wraps for retailer shipments are core to our B2B service, along with domestic pallet courier arrangement.

Do you provide retailer compliance labelling?+

Yes, retailer compliance labelling (the specific labelling and documentation many retailers require on inbound stock) is included in our B2B fulfilment service.

How is B2B fulfilment priced?+

B2B and pallet fulfilment is quoted on a bespoke basis rather than a flat per-unit rate, because retailer requirements vary significantly. Book a call and we'll put together a quote based on your specific retailer requirements and volumes.

Can you manage delivery bookings for retailers?+

Yes, booking management for retailer deliveries (where a delivery slot or reference needs to be arranged with the retailer) is part of our B2B service.

Do you provide branded pick notes?+

Yes, branded pick notes for B2B shipments are included as part of our retailer fulfilment service.

Can you handle mixed B2B and DTC/Amazon for the same brand?+

Yes — many of our clients run Amazon FBA, DTC, and wholesale/B2B from the same stock pool. Mintsoft lets us manage all three from one inventory record, so you're not duplicating stock across providers.

Do you support EDI for retailer orders?+

EDI isn't part of our standard published integrations list. If a retailer you supply requires EDI, raise it on your discovery call so we can confirm whether it can be accommodated for your specific case.

Storage and inventory

How much does storage cost?+

Storage is free for the first 30 days on all accounts. After that, standard pallet storage is £6.50 per week. Get in touch for current rates on shelf bay or bin storage if pallets aren't the right fit for your stock.

Do you offer free storage?+

Yes, every account — FBA prep, DTC, or B2B — includes 30 days of free storage as standard before any storage charges apply.

What counts as long-term storage?+

Stock that sits beyond the agreed storage period without moving is classed as long-term storage and is subject to a surcharge over the standard pallet rate. Ask your account contact for current details if this applies to slow-moving SKUs.

Can I see live stock levels?+

Yes, live WMS access is included on every account through Mintsoft, so you can check stock levels at any time rather than waiting for a report.

Do you provide stock reports?+

Yes, monthly stock reporting is included as standard, alongside live WMS access for day-to-day checks.

How accurate is your inventory?+

We guarantee 99% inventory accuracy, audited and reported monthly. This is one of the four commitments in our published guarantee.

What happens if there's a stock discrepancy?+

Inventory accuracy is audited and reported monthly as part of our guarantee. If you spot a discrepancy, raise it with your account contact and it will be investigated and corrected through Mintsoft.

Do you store hazardous goods?+

We can handle a limited range of hazardous goods in a dedicated zone, but there are limits on volume and category. If your products fall into this category, raise it on your discovery call so we can confirm whether we can accommodate them.

Is my stock insured while it's with you?+

You're responsible for maintaining appropriate insurance for your goods while they're in our care, as set out in our service agreement. We can discuss optional insurance arrangements — ask your account contact for details.

Can you handle seasonal stock spikes?+

Yes, this is something we plan for with established clients, particularly around peak season. Let your account contact know about expected spikes in advance so we can plan storage and labour accordingly.

Returns processing

Do you handle returns?+

Yes, returns processing — including inspection, restocking, disposal, or return to supplier — is one of our core services, reported in Mintsoft the same day a return is processed.

How much does returns processing cost?+

Returns processing starts from £1.25 per return, covering condition grading, restock-or-quarantine decisions, and same-day WMS updates.

What happens to returned items?+

Each return is inspected and condition-graded, then either restocked as sellable, repackaged, put into quarantine pending your decision, or disposed of, depending on its condition and your instructions.

Can you restock items automatically?+

Items that pass quality inspection can be restocked to sellable inventory; items needing a decision (damaged packaging, condition concerns) are quarantined and flagged so you can decide what happens next.

Do you photograph returns?+

We can provide photographic evidence of returns on request — useful for disputing chargebacks or assessing condition remotely. Ask your account contact to confirm this is set up on your account.

Can you process Amazon FBA removal orders?+

Yes, we accept and process Amazon FBA removal order shipments as part of our returns service.

How quickly are returns processed?+

Returns are logged and the WMS is updated the same day a return is received, so your stock position reflects reality quickly rather than after a delay.

What if a returned item is damaged?+

Damaged items are condition-graded on arrival and either quarantined for your decision or moved straight to disposal, depending on the severity and your standing instructions.

Kitting and bundling

What is kitting?+

Kitting is assembling multiple individual items into a single saleable unit — subscription boxes, multipacks, or gift sets — counted, assembled and labelled to your specification.

How much does kitting cost?+

Kitting starts from £0.15 per kit for up to 5 units per kit, including custom inserts and marketing materials.

Can you assemble subscription boxes?+

Yes, subscription box assembly is one of the most common kitting jobs we run, including any inserts or marketing materials you want included.

Can you add custom inserts or marketing materials?+

Yes, custom inserts and marketing materials are included in our standard kitting service rather than being a separate charge.

Is there a limit to how many items can go in a kit?+

Up to 5 units per kit is included in our standard rate; larger or more complex kits can be quoted on request.

Can you rework or repackage existing stock?+

Yes, rework and repack services are part of our kitting offering — useful if stock needs relabelling, repackaging, or reworking into a new configuration.

How does Vibe65's pricing work?+

Is there a setup fee?+

What's included in the subscription vs charged separately?+

Can pricing change after I sign up?+

Pricing is based on the volume, SKU profile and complexity you describe when signing up. We review actual operational activity against those assumptions within the first 90 days, and may adjust pricing with written notice if the real scope differs materially from what was described.

Do you charge for account management?+

FHDDS and compliance

What is FHDDS?+

FHDDS stands for the Fulfilment House Due Diligence Scheme — an HMRC-backed register that UK fulfilment houses handling goods for overseas sellers (or otherwise in scope) must be registered under.

Why does FHDDS matter for Amazon sellers?+

Amazon increasingly expects the 3PLs handling FBA-bound stock to be FHDDS registered. Using a non-registered 3PL can put your Amazon seller account and VAT compliance at risk, including potential account suspension.

Is Vibe65 FHDDS registered?+

What happens if my 3PL isn't FHDDS registered?+

Are you GDPR compliant?+

What products can't you store or ship?+

We can't handle certain regulated or prohibited categories, including counterfeit or replica goods, weapons and knives, tobacco, items that infringe IP, and hazardous materials beyond our agreed limits. Speak to us if you're unsure whether your product falls into a restricted category.

Do I need my own insurance?+

Yes, you're responsible for maintaining appropriate insurance for your goods while they're with us. Optional insurance arrangements can be discussed — ask your account contact.

Do you handle VAT or customs on my behalf?+

No — we don't provide legal, tax, customs brokerage, or marketplace account management services. We handle the physical fulfilment side; VAT, customs and compliance advice should come from your accountant or a specialist adviser.

What documentation do you need from me before onboarding?+

We need accurate inbound documentation (ASN, packing lists, SKU and quantity data), product dimensions and weights, and confirmation that your goods comply with applicable laws and marketplace rules. For overseas sellers, FHDDS due diligence documents are also required.

How long does onboarding take?+

We typically onboard new clients in 5–7 working days, covering WMS setup, channel integrations, and training. Overseas sellers may take a little longer due to additional FHDDS checks.

What do I need to provide to get started?+

Accurate SKU, dimension and weight data, inbound shipment documentation, and confirmation your products meet marketplace and legal requirements. Your account contact will guide you through exactly what's needed for your setup.

Can my pricing be reviewed during onboarding?+
